This policy applies to all employees, applicants and visitors to our website and establishes a framework for the collection, use, disclosure and retention of personal information in the course of the business activities of Bédard Ressources Inc.

This policy does not apply to websites operated by third parties over which we have no control. If you use a link to a third-party website, the confidentiality policy of said website applies. We are not responsible for their policies, procedures or practices regarding the protection of personal information. Definition of personal information

Personal information refers to any and all information that makes it possible to directly or indirectly identify a person, including their name, home address, human resources, health and government information—such as the social insurance number (SIN)— and driver’s licence, credit card or bank account numbers.

 

Your consent to the collection, use and disclosure of personal information

Bédard Ressources Inc. may collect, use, disclose and safeguard any information you provide to Bédard Ressources Inc. or on its website during any interactions that Bédard Ressources Inc. may have with you, either with your consent or as allowed or required by law. The way in which we obtain your consent (i.e., the form we use) depends on the circumstances and the sensitivity of the information collected. Except when the law requires a specific form of consent, your consent may be express or implied, depending on the circumstances and sensitivity of the personal information in question. However, before we proceed with withdrawing your consent, we may ask you to prove your identity. In some cases, withdrawing your consent may mean that we can no longer provide you with certain products or services.

Collection of personal information

When the Bédard Ressources Inc. website is accessed, some information is automatically collected by our computer network.

As with most websites and other online services, we can collect certain technical information relating to the devices on which you use our services. This information may include your device’s unique identifier, your device’s information, your browser and operating system, as well as the date and time you use our site.

Our site may use cookies or similar technology such as beacons or pixels to provide you with an enhanced browsing experience, improve performance and generate audience statistics. These files are found on your computer’s hard drive or browser to collect information such as your preferred language, browsing history, and the type and version of the browser you are using. In addition, when you visit our website, our systems automatically collect your IP address and the type of browser you are using. We may engage third-party service providers to place advertisements on our products, services and applications on other websites. You may restrict automatic collection of certain information on our website by deciding not to activate cookies through your browser’s options. Please be aware that deactivating cookies may prevent you from using some of our website’s functions. Your personal information is also collected when you willingly provide it to us, notably in the course of a job application, where you are required to supply such information.

Whenever you willingly provide personal information to Bédard Ressources Inc., we will collect, use and/or disclose it in accordance with this policy and applicable legislation.

As a job seeker using the services of Bédard Ressources Inc., you are required to supply certain information to enable us to provide you with the best service possible. In addition to your address, preferred language, date of birth (date of birth is only collected when a background check must be performed for hiring purposes), resumé and description of the type of employment sought, your file may also include the following:

  • our interview notes;
  • information from references and background checks;
  • academic records;
  • reference letters;
  • results of qualification tests; and
  • information required to provide payroll services, including banking details, tax deductions and vacation allowances. The social insurance number is not collected at the application stage. It is only required for tax purposes when the candidate receives an employment offer.

Finally, Bédard Ressources Inc. also collects your personal information when you interact with us, whether in person, by phone or email, through social media or otherwise. If you contact us for help or to request information, we may collect any information that you disclose to us.

 

Use of personal information

Bédard Ressources Inc. uses your personal information for the following purposes:

  • understanding your qualifications, needs and preferences;
  • finding the best employment opportunities that will give you job satisfaction;
  • responding to requests for information about applicants from our clients;
  • checking the information submitted as part of a job application;
  • performing background checks when necessary and legally required;
  • providing job placement and recruitment, human resources and outsourcing services to our clients;
  • managing payroll; and
  • contacting you with regard to your file when necessary.

 

Bédard Ressources may use your personal and other information for purposes for which we obtained your consent and other purposes authorized or required by law.

 

Disclosure to third parties

In the ordinary course of business, Bédard Ressources Inc. will disclose your personal information to clients whenever we believe a placement opportunity arises. As a job seeker, you rely on us to share this information. We will provide your information to employers if a job opening is suitable for you, but only the information required and necessary to make an informed decision about a candidate.

We may share information with our affiliated companies, partners, contractors and any other company we rely on to provide comprehensive staffing services. However, we only disclose the information that is strictly required for the role performed in our name by an agent. We also ensure that any contract entered into with an advisor clearly describes their obligation to protect your personal information and respect privacy.

Companies with whom Bédard Ressources Inc. shares your personal information include:

  • Organizations performing background checks, including criminal record, academic background and credit checks, at the client’s request.
  • The following companies provide us with software hosted on their servers: Microsoft, Synerion and Atman.

We might also be required to disclose your personal information in the case of a merger, acquisition, debt financing, sale of assets or any similar transaction, as well as in cases of insolvency, bankruptcy or receivership, where personal information would be considered a business asset and transferred to third parties.

In the event that Bédard Ressources Inc. were aware that a third party was using or disclosing personal information in an unauthorized manner, it would take reasonable measures to prevent or stop the use or disclosure of this information.

In addition, we may use or disclose your personal information when we think that this use or disclosure is authorized, required or appropriate in the following situations:

  • to comply with applicable legislation, including legislation in countries other than your country of residence;
  • to comply with a legal proceeding;
  • to meet the demands of public and government authorities, including public and government authorities in countries other than your country of residence;
  • to enforce the conditions of agreements relating to our products and services;
  • to protect our business or that of our affiliated companies or subsidiaries;
  • to protect our rights, privacy, safety or property, and/or those of our affiliated companies, yourself or other people; and
  • to allow us to exercise available recourse or limit damage that we may suffer.

Furthermore, we may transfer your personal or other information to a third party in the event of a restructuring, merger, sale, joint venture, assignment, transfer or any other disposition—in whole or in part—of our business, brands, affiliates, subsidiaries or other assets.

If we intend to disclose your personal information to a third party, we will identify this third party and the reason for the disclosure, and obtain your consent.

 

Retention and destruction of personal information

Bédard Ressources Inc. retains personal information only for as long as required to fulfil the purposes mentioned or for the term required by law, then destroys them appropriately.

Our internal policies stipulate that personal information must only be kept on the company’s servers, either in the appropriate databases or on communication software. Data is stored on servers located in Québec or Ontario. The following people have access to the information: consultants, managers, office staff and accounting and payroll employees.

Our internal policies also state that all information collected on paper is scanned before being destroyed by shredding within the year and kept under lock and key on the company’s premises, in the meantime, to keep the information secure.

 

Information for children

Our products and services are not geared towards minors, and we do not willingly collect personal information from minors. If you are a minor under applicable legislation in your place of residence, please do not provide us with your personal information without your parent’s or guardian’s explicit consent.

If you are a parent or guardian and know that your children have provided us with personal information, please contact us. If we learn that we have collected personal information from minors without verifying parental consent, we will take measures to delete this information from our servers.

 

Information security

We have implemented physical, organizational, contractual and technological security measures to safeguard your personal information and other information against loss or theft, unauthorized access, disclosure, duplication, use or modification. We have taken measures to ensure that the only staff members authorized to access your personal information are those whose position reasonably requires them to have access to it.

Despite the measures described above, no information transmission or storage method is completely secure or error-free. Therefore, we unfortunately cannot guarantee absolute security. If you have any reason to believe that your interactions with us are no longer secure (for example, if you think that the security of the information you have provided to us has been compromised), please contact us immediately using the information in the “Contact us” section below.

 

Rights with respect to personal information

In compliance with applicable legislation, you may, at any time, make a written request to access your personal information; we will process your request in compliance with applicable legislation. We reserve the right to charge a reasonable fee for the transcription, reproduction or transmission of such information.

Furthermore, you may withdraw your consent under certain circumstances. You may withdraw your consent to the disclosure or use of personal information at any time.

In addition, you may withdraw your consent to receive communications from us at any time.

We strive to maintain accurate records of your personal information, but cannot succeed without your help. As part of this ongoing effort, we ask you to inform us right away of any change to your personal information so that we could make the necessary corrections whenever appropriate and keep our files up to date.
